Cannot Edit Time Entries

Why your time entries might be locked and how to resolve it.

Why Entries Are Locked

Time entries become locked (read-only) in the following situations:

  • Submitted for approval: Once you submit a week for approval, all entries for that week are locked to maintain data integrity.
  • Admin approved: After an admin approves your hours, entries are permanently locked. This is by design for audit compliance.

How to Unlock

If your week has been submitted but not yet approved, ask your admin to return it for revision. The admin can click "Return for Revision" on the Approvals page, which unlocks the entries for editing.

After Admin Approval

Once hours are admin-approved, the entries cannot be edited through the normal workflow. If a correction is genuinely needed, an admin must explicitly revert the approval status. This action is logged in the audit trail.

Draft Entries

Entries for weeks that have not been submitted remain editable at all times. You can freely modify them until you submit the week for approval.
